Managing Tenants for Commercial Admins

With the ease of being able to manage all your tenants in one place, VTS Rise allows you to add tenants, set up domain white listing and organize your tenants for easier communication. In this article, you will learn how to:
  1. Add Tenants and Subtenants
  2. Set up Domain Whitelisting
  3. Add Tags to your Tenants
  4. Create and Add a Custom Visitor Pass Message to the Tenant
  5. Delete/Deactivate Tenants

If your accounting or access control system is integrated into your VTS Rise Platform, please manage your tenants in your accounting system. VTS Rise will sync the information over nightly. 

Add Tenants

There are several ways to add tenants to your platform:
  1. Individually
  2. Bulk Import
  3. Domain White listing
  4. Accounting integration

Option One: Individually

Step 1  
Upon logging into your admin portal, select Operations from the left navigation menu, and then under Occupant Management select Tenants.



Step 2
Select Add Tenant from the top right corner.



Step 3
Enter the Tenant information and select Submit.



  1. Tenant: The name of the business.
  2. Description: Enter optional description of the tenant.
  3. This is a subtenant: If this tenant is a subtenant of a main tenant mark this option. See Add Subtenants section for more information.
  4. Account Number: Enter the tenants account number if applicable.
  5. Tags: Tags may be preemptively assigned to a tenant during creation.
    Floors: (If Applicable) - When using Rise Lift, this associates the floors the occupants within this tenant have the ability to access with their personal QR code in the app in the Rise Lift elevator. 
  6. Visitor Floors: (If Applicable) - When using Rise Lift, this associates the floors the occupants within this tenants' visitors will have access to using their visitor pass in the Rise Lift elevator. 
  7. Home Floor: (If Applicable) - What Floor this tenant is located on. 
  8. Anonymize or Hide Occupant Name on Kiosk Directory: (If Applicable) - Allows you to anonymize the occupants' names associated with the tenant from the Kiosk directory.
  9. Assign Work Orders To: (If applicable) - Allows you to assign work orders created by anyone in this tenant to a specific staff member or staff group.  Learn More about Auto Assigning Work Orders
  10. Domains: If your property is using Domain Whitelisting, enter the email domain of the tenant here.
  11. Disable Welcome Email: Allows you to disable a welcome email from being sent to new occupants added to this tenant. 

Option Two: Bulk Upload

Step 1
Upon logging into the  admin portal, select Operations from the left navigation menu, and then under Occupant Management select Tenants.


























Step 2
Select More from the upper right corner, and select Import from CSV.



Step 3
Select CSV and choose the CSV or excel spreadsheet you would like to import. 
Tip: Make sure you download the sample CSV first to ensure you are uploading the correct information. 

 

Add Subtenants

When a Tenant's primary relationship is with another Tenant at the property, Subtenants can be used. When adding a new Tenant, you can mark it as a Subtenant allowing for a workflow of both requiring the Main Tenant to approve work orders as well as charging work orders to the Main Tenant.

Step 1  
Upon logging into your admin portal, select Operations from the left navigation menu, and then under Occupant Management select Tenants.



Step 2
Select Add Tenant from the top right corner.


Step 3
Select the checkbox next to This is a subtenant. This will open additional fields to complete.


  1. Main Tenant: Select the Main Tenant that the Subtenant should be listed under.
  2. Require main tenant to approve work orders: If this setting is selected, when a work order is submitted by a Subtenant, the Main Tenant will get a push notification and email alerting them about the new work order. Staff and Property Admins will not see this new Work Order until after it is approved by the Main Tenant.
  3. Charge work order to the main tenant: If this setting is selected, when a work order is submitted by a Subtenant, it will be added to the Main Tenant's ledger.
Step 4
Complete the rest of the Subtenant information, selecting Submit when complete.

Setting up Domain Whitelisting

Domain whitelisting is a feature to help ease onboarding for commercial properties. Instead of having to approve self-registrations individually, at the Tenant level, you are able to list email domains that are allowed access to your VTS Rise App.

Step 1
Select Settings in the left navigation, then select Property Settings.



Step 2
Ensure Automatically Approve App Registrations is set to No under Property Settings. This is required for Domain Whitelisting to be enabled. 



Step 3
Select Operations from the left navigation menu, and then under Occupant Management select Tenants.



Step 4
Select the three horizontal dots next to the Tenant that you would like to add domain whitelisting. Select Edit in the drop-down.
You will add a unique domain for each Tenant that will be utilizing whitelisting.


Step 5
Navigate to the bottom of the Tenant's Edit screen to Occupant Default Type and Domains. Occupant Default Type allows you to set the automatically assigned occupant type to the occupant when they self-register.

 It is recommended to configure the default to Occupant. Occupant types can then be changed on an individual basis if someone needs a higher level of access, such as Tenant Main Contact.

Domains is where you will input the email domain of the Tenant. For example, if VTS is your Tenant, @vts.com would be whitelisted. 
Select Save Changes in the lower right side when you are finished.



Currently, self-registration done through Domain Whitelisting will be automatically approved. 

Add Tags to a Tenant

Tags are a way to group people or tenants together in the platform to send curated management posts, polls, events, and forms. Tags assigned to the tenant level will apply to all occupants associated with that tenant, including occupants added after the tag was created and attached to the tenant.  Learn more about Tags in this article.

Step 1
Upon logging into the  admin portal, select Operations from the left navigation menu, and then under Occupant Management select Tenants.



Step 2
Select the white box(es) next to the tenant(s) you would like to assign the tag(s). 



Step 3
Using the Select Action drop-down at the top of the screen, select Assign Tags and then select the Tag(s) you would like to assign to this tenant. Select Submit to complete the tag assignment. 




Add a Custom Visitor Pass Message to Tenant

Custom visitor pass messages can be applied to all visitor passes created by the tenant. This can include directions or welcome notes. 

Step 1
Upon logging into the  admin portal, select Operations from the left navigation menu, and then under Occupant Management select Tenants.



Step 2
Select the tenant you would like to add a custom visitor pass. 



Step 3
Select More from the top right corner of the unit profile and select Custom Visitor Pass.



Step 4
Enter the custom visitor pass message you would like assigned to this tenant and select Submit.



Deactivate Tenants

You can bulk delete tenants or delete them on an individual basis. 
Note: You must first deactivate/delete the occupants under the Tenant before deleting the Tenant.

Step 1
Upon logging into the  Admin Portal,  select Operations from the left navigation menu, and then under Occupant Management select Tenant.



Step 2
Select the white boxes next to the Tenant(s) you would like to deactivate. 



Step 3
Select the Select Action drop-down box from the top of the screen, and select Deactivate.



Step 4 
Select Submit
